RMA stands for Return Merchandise Authorization. It's a way for the companies to get products back through automotive parts return management and arrange proper shipping of the product back to them. Many companies have assigned shipping services to ship the items back to them. RMA helps to keep track of the parts return process.

In the parts return management system basically, the company says that they have authorized the return of the goods. So, when the goods come back OEM warehouse, they will be ready to accept the goods into inventory.

Intellinet the leading provider of parts catalog software and automobile warranty management has added this RMA module to its warranty management system. The tool will help automobile OEMs in getting defective parts back in an effective way. Also, Parts return management will increase productivity, as they can better research the reason for defects and errors in the part. This will help in making products better and indirectly increase the revenue of an organization.

Generally, automobile dealers order various spare parts for their end customers and for different vehicles that come to them for repair.  The dealer replaces the part with their respective OEMs, but sometimes OEMs need that defective part from the dealer for obvious reasons. Either they want to send it back to the supplier or they want to do proper research on any part if the number of defective parts is in bulk. The research will help in providing better services in the future.

Parts Return Management

RMA allows the OEMs to integrate an automotive parts return management system so that they can create a request for product return. A parts return management system is very useful to get the defective product back. With the help of the parts return process module, dealers can return the parts within the admin-specified time limit.

A parts return management software is a much-needed feature for spare part organizations and manufacturers. RMA features help to improve end-user experience and satisfaction. This module provides the freedom to get back the supplied goods. This module offers a quick and convenient way for the OEMs to file RMA.

Features Of Return Material Authorization:

  • RMA history with filters at the admin and the seller end.
  • Email notification of RMA for OEM and the dealer as well.
  • The dealer can add their own reasons as well for RMA.
  • The dealer can add shipping labels for RMA.
  • Dealers can print RMA details and shipping labels easily.

General Benefits Of Return Material Authorization:

For OEMs:

The admin from the backend can add reasons for RMA under manage reasons. These reasons will be displayed at the front end to the dealer while creating an RMA request. Admin can view all the RMA in his panel. Also, after a specific time period exceeds the dealer will not be allowed to create an RMA.

  • Admin can view order information, product details, and conversations related to the RMA.
  • Admin can enter RMA Time to create RMA by the dealer from the day of product purchase.

For Dealer:

The part manager will get a request for RMA from OEM if the product does not meet their expectation. The part manager will look for the product for which the RMA request is to be generated. Now, the manager will prepare the product to dispatch according to the RMA request and can write additional information as well.

  • The dealer can send a message to the seller.
  • The dealer can close the RMA, if satisfied.
  • Dealers can upload multiple images of the received defective product.

RMA (return merchandise authorization) is an authorization provided by OEMs to get the return of a product. Every automobile company has its own policies that allow products to be returned according to pre-defined business rules. If any company has an integrated warranty management system in their organization then they can easily take the help of an RMA module to return a defective product.  To return a defective product, the typical process is:

  • To apply the parts return management system for the defective product, the service manager will go to the part return portion in the admin panel and after entering the part-related detail, like purchase date, model number, etc. part return request will be generated automatically. After this, four four-digit RMA numbers will be generated automatically and the request will be delivered through mail and portal to the parts manager.
  • Once after receiving the request parts manager will place vulnerable components in an anti-static bag like they came and will pack the product securely in a box that won’t be damaged during shipping. But the original box the product came in, that’s probably the best box to use.
  • Now, the parts manager will ship the product through a shipping service company at the address provided by the OEM. Also, the parts manager must write the RMA number on the outside of the box that the product is being shipped in.
  • After shipping the products it is important to mail all the shipping details to the OEM so that they can track the live location of their product.

RMA numbers are important to both the service manager and part manager. An RMA number tells the merchant that a return is being made and offers protection against fraudulent returns. The customer can use the RMA number to inquire about the progress of a return. For example, if the OEM hasn't received any information about the return, the OEM can call the parts manager and the RMA number can be used as a reference. The Automotive industry finds itself today faced with serious challenges. Competition in the marketplace has never been tougher. There are new products coming to market every month.
